"GoToWebinar“ Privacy Policy
We use the "GoToWebinar" tool to virtually conduct events and further training ("online seminars"). GoToWebinar is a service provided by LogMeIn Inc. You are free to either download the software for use (obtainable via the GoToWebinar homepage) or participate in the online seminar via your respective browser. Installation of the app is not necessary. When using GoToWebinar, different types of data are processed. Such data may vary depending on the design of the service. This will depend, among other things, on the information you provide during the online seminar.
The following personal data is subject to processing:
User information: e.g., display name, e-mail address (if applicable), profile picture (optional), preferred language; when dialing in by phone, the phone number, country name, and start and end of dial-in are recorded Meeting metadata: e.g., date, time, meeting ID, phone numbers, location, IP address, device information Text, audio, and video data: Depending on how the seminar was designed, you may have the option of using the chat function during an online meeting. The text entries that you make will be processed in order for them to be displayed during the online seminar. Depending on the design of the seminar, you will be able to participate in it using a video camera and/or a microphone. In order to be able to process the (audio) visual contributions, access to your input devices will be required for the duration. However, you will be able to mute or switch off the camera and microphone at any time yourself in the settings.
We use GoToWebinar to virtually conduct the online seminars and provide the respective services offered. Processing beyond that purpose will not occur. If the online seminars are to be recorded, you will be informed in advance, in a transparent manner, and – if necessary – your consent will be obtained. A recording will be made if, for example, we wish to use the recording of the seminar (e.g., training or presentations) with other customers. A recording may also be required for internal evaluation purposes with regard to further education and training. To the extent possible, questions from participants (e.g., from the chat history) will be anonymized in the event of a recording. You will be informed in advance about the intended use. When using "GoToWebinar", the chat content will be logged. The data will be stored for up to three months. A corresponding record will be prepared, insofar as this is necessary for the proper execution of the seminar (e.g., for the follow-up of results); however, this will not normally take place. If the online meeting is recorded, we will inform you individually regarding the storage period of the data. However, the seminars are configured in advance and in such a way that as little data as possible is collected from our participants or is included in the recording.
Automated decision-making, as defined in Art. 22 GDPR, is not carried out. The legal basis for the processing of data during the execution of the online seminar is Art. 6 I 1 f) GDPR. We use these services to make the online seminars effective, simple, and customer-friendly. If we record the seminar for verification purposes or use it internally to improve our service, this is also in line with our legitimate interest. To the extent that we have to process your data in order to provide the service owed under the contract, the legal basis for doing so shall be Art 6 I 1 b) GDPR.
Personal data will not be passed on to third parties, unless it is necessary for the provision of services within the scope of the online seminar. The provider of "GoToWebinar" will be informed about the aforementioned data as necessary to provide the service. An order data processing contract has been concluded with the service provider.
The service shall be provided via data centers in the USA. In addition to the order data processing contract, the standard contract clauses provided by the EU Commission have been concluded in order to be able to ensure the European level of data protection.
Your data will be deleted when it is no longer required. There may be a need to store the data, for example, if it is required in order to be able to fulfill the contractual or ancillary contractual services. Should the data be retained due to legal retention periods, it will only be deleted after the corresponding periods have expired.
